Basic requirement for the dashboard

  • Advanced analytics subscription (contact Sales if you wish a demo)

  • Sensors for each workspace to be analysed (Room, Desk, Huddle)

Where does the data come from

The data for this Dashboard comes from the Sensors. We analyse only occupancy-data on working days between the working hours (These can be changed in the building details). Data outside this period is currently not taken into account. We calculate the usage of a workspace per day, if the sensor has times without occupation which are less than 15' we calculate it as occupied for the hole period. (e.g. usage between 8:00 until 9:00 and from 9:10 to 10:00 the usage for this period is 2h / if the break is from 9:00 to 9:20 the usage would be 1h 40')

Organization view

If you have set your Filters, you will be able to see a report like the following. You are able to click on every bar and the report will change to show you only the selected data:

image-20240307-095429.png
  1. You can select the base of the daily % usage calculation.

    1. If you select 1h you will typically see which workspace is used daily.

    2. If you select 10h you can easily see the number of hours per day the workspace is used, e.g. a usage of 40% means in average a daily usage of 4h for the selected filters.

  2. In the weekly profile you are able to see how different workspaces are used during the week. (The data is aggregated for all days in the selected period)

  3. In this example we see clearly that the office is not well-used around the end of the week.

  4. In the monthly profile you are able to see usage over the months. (if you have selected more than one year the data will be aggregated for the duplicated months, in the example above we have for Jan, Feb and March an aggregation of two years data)

  5. In the selected time period you are able to see the data over the selected time period

  6. In the buildings, you can compare the selected buildings or floors if you open a building with the +.

  7. It is an easy way to see how the spaces are used differently in various buildings or on various floors.

  8. If you have set tags you will see the differences on the tags here too.

  9. This is a great way to analyse how different teams use their workspaces.

You are able to open every part of the Report separately by opening the details with a right mouse click (select show as a table):

Now you have a bigger view and the exact number for every section:

Floor view

On the top bar, if you change the view from Organization to Floor, some details of the report are changed:

image-20240307-100145.png
  1. On most utilized, you will see the 3 most used and 3 least used workspaces.

  2. If you have more than one floor in the selection, you are able to switch the floor with the navigation. Also, you can manage the level of zoom. (in/out)

  3. Here you will see a view of the data as a floorplan, you will see the different desk locations, and how they are used.

How will be the data calculated

We collect all the usage data for every workspace, every day. The system aggregates the data based on your chosen Utilization rate and the filters you set.

Two examples with the same date but different utilisation rate

  1. Utilization rate = 1h 3 Desks on a floor time period 2 days

    1. Desk 1 was used 3h on day 1 and 1h on day two: Usage day 1 = 100% / usage day 2= 100% / usage overall = 100%

    2. Desk 2 was used 1h on day 1 and 30' on day two: Usage day 1 = 100% / usage day 2= 50% / usage overall = 75%

    3. Desk 3 was not used on day 1 and 30' on day two: Usage day 1 = 0% / usage day 2= 50% / usage overall = 25%
For this example, the overall usage over the 3 desks for the two days is: 66.67% (100% from desk 1 + 75% from desk 2 + 25% from desk 3 / 3)

  2. Utilization rate = 7h 3 Desks on a floor time period 2 days

    1. Desk 1 was used 3h on day 1 and 1h on day two: Usage day 1 = 42.86% / usage day 2= 14.29% / usage overall = 28.56%

    2. Desk 2 was used 1h on day 1 and 30' on day two: Usage day 1 = 14.29% / usage day 2= 7.14% / usage overall = 10.72%

    3. Desk 3 was not used on day 1 and 30' on day two: Usage day 1 = 0% / usage day 2= 7.14% / usage overall = 3.57%
For this example, the overall usage over the 3 desks for the two days is: 14.28% (28.56% from desk 1 + 10.72% from desk 2 + 3.57% from desk 3 / 3)
